Ngā Pepa Ārahi: Procedures manual for Ngā Kaiwhakahau is a guide that outlines current practices and policies on
how to administer Te Rōpū Whakahau. It has been developed so that members of the executive are able to ensure that the
goals and objectives of Te Rōpū Whakahau are achieved. This is a working document and will be reviewed annually.
Most of the documents contained in Ngā Pepa Ārahi are confidential to members of Te Rōpū Whakahau.

Terms of reference for the Te Rōpū Whakahau Annual General Meeting
Aims
These terms of reference aim to create a procedural document to structure the Annual General Meeting (AGM). For an effective and earnest hui, discussions will be more controlled and productive, and the decision making process will be transparent and fair, and
decisions will be final.
The ethos of these terms of reference rest on the mutual support of all current Te Rōpū Whakahau members in that these terms of reference must be agreed upon by all current members of Te Rōpū Whakahau, and after that, must be abided by.
Pre-requisites
- The terms of reference must be distributed to all members one month prior to the AGM.
- The AGM shall be run in accordance with Te Rōpū Whakahau's constitution and these terms of reference.
Conditions
- The AGM shall be the forum where the final decision or motion shall be carried.
- Only members may vote in the AGM in accordance with the constitution.
- One month prior to AGM all members will be made aware of the resolutions to be carried by consultation prior to the hui.
- Only resolutions included as agenda items will be voted on at the AGM. Any new proposals may be raised in General Business,
and at the discretion of Ngā Kaiwhakahau be acted upon at the next AGM or at a Special General Meeting.
- Any new members who join after we have been made aware of the resolutions, shall be advised of the resolutions and can abstain,
carry, or not support the resolution. See (4).
- In the unlikely event a current, paid member feels passionately that there may be a motion which has not been considered or which
has been overlooked then the Chair shall decide whether to squash, uphold or consult more on the new motion.
